Scheduling Group Classes

A group class is a booking type with a capacity and weekly class times. Set one up on web, then manage the roster and attendance on web or mobile.

Steps

On mobile you can take attendance and manage the roster. You cannot create or edit a class. Set up classes in the web app.

Take attendance

  1. Tap Schedule (the calendar icon) in the bottom bar.

  2. Find the group class on the day it happens. It shows how many are booked, for example "3/10 booked".

  3. Tap the class. The class roster opens. It shows how many are booked, for example "3 of 10 booked", and each person's status: Booked, Attended, No show or Cancelled.

  4. Find the person. Tap their Booked status, which has a small down arrow. Do not tap the name, because that opens their profile.

  5. Tap Mark attended or Mark no show. You see "Attendance recorded." or "No-show recorded."

Add a client to the class

  1. Open the roster and tap Add. If the class is full, the button reads Full and you can't add anyone.

  2. Pick the client. If the class needs a session pass, the app shows the client's balance. If the balance is 0, enter an Override reason (required). The app records the reason. No pass is used.

  3. Tap Add to class.

Remove a client from the class

  1. Tap the client's Booked status.

  2. Tap Remove from class, then tap Remove to confirm.

For classes that use session passes, the message may say the pass was returned or, for a late cancellation, forfeited.

Common questions

The Coaches list is short.

It lists only the coaches on the team you pick in Location. Organization-wide lists all coaches. It shows only when you have more than one location.

I see "No coaches are on this location's team yet."

Add a coach to that team first.

Can clients book the class themselves?

Only if you turn on Client self-booking on the Details tab. It is off for new classes.

I changed the time. Why does one class still show the old time?

A class that already has bookings keeps its original time. The message says how many classes did not move, for example "Schedule updated. 1 booked class occurrence remains at its original time."

The Add client button is grey.

Pick a client first. The button also stays grey when the class is full, or when the balance is 0 and the Override reason is empty.

Can I change Attended to No show later?

No. You can mark a person only while their status is Booked. After that, the status can't be changed.

Can I mark a one-on-one appointment as a no-show?

Not today. One-on-one appointments only have Complete and Cancel.

Where are the cancelled bookings on mobile?

At the bottom of the roster, in Cancelled (N). Tap to open the list.

What if the roster fails to load on mobile?

Tap Retry.

Can I open the client from the roster on mobile?

Yes. Tap the person's row.

Can I create or edit the class on mobile?

No. Set up classes in the web app.
