Creating 1on1 Appointments

A booking type is something clients can book with you, such as a one-on-one session. Make one, then change, share, or archive it as you need.

Steps

Create a booking type

  1. Open Calendar, select Settings, and in the Booking card select Open.

  2. Select New booking type.

  3. Pick One-on-one appointment, Group class, or Consultation link. For a group class, see Set up a group class. For a consultation link, see Share a public consultation link.

  4. Fill in the short form that opens:

    • Owner, if you are an organization admin: Personal or Organization. For Organization, also pick the coaches who can be booked (the list uses your staff word).

    • Name

    • Duration (minutes)

    • Format: In person or Virtual. For in person, fill in Address or arrival instructions. For virtual, pick Video delivery.

    • For a one-on-one appointment, Clients can book this themselves is on. Turn it off if only you should schedule it.

  5. Select Create. The booking type opens in an editor.

  6. To change whether clients can book it themselves, use the Client self-booking switch.

  7. To require a pass, set Booking requirement to Require a session pass, then choose the Session pass type.

  8. To set Minimum notice (hours), Book up to (days) and Cancellation cutoff (hours), open More options.

  9. Select Save changes.

Edit a booking type

  1. Open Calendar, select Settings, and in the Booking card select Open.

  2. In the Booking types list, select the booking type you want to change. The editor opens.

  3. Change what you need:

    • Name, Duration (minutes) and Format (In person or Virtual)

    • Address or arrival instructions for an in-person type. For a virtual type, pick Video delivery: Google Meet or Reusable HTTPS link.

    • Client self-booking and Booking requirement

  4. To change the rules around booking, open More options. You can change:

    • Description

    • Minimum notice (hours)

    • Book up to (days)

    • Start times every (minutes)

    • Buffer before (minutes) and Buffer after (minutes)

    • Cancellation cutoff (hours)

    • Clients can cancel

    • Shared booking group (optional), for one-on-one types. See the steps below.

  5. Select Save changes.

A group class has the same settings, plus Class capacity. They are under Class details and Booking policy. For a group class, the cancel switch is called Allow client cancellation.

If the booking type belongs to your organization (Owner is Organization), you also see a staff assignment, for example Coach assignment. Pick Selected coaches and choose people, or pick All eligible coaches so the list follows your organization. These labels use your staff word.

Set hours for one booking type

Select Edit hours in the editor. See Set your hours and block time off.

Make booking types that cannot overlap

Use a shared booking group when two one-on-one booking types use the same room or equipment. Types with the same group name cannot be booked at the same time. In an organization, this applies across coaches who use the same group name, for example two coaches who share one room. A solo coach's groups affect only that coach. Group names ignore capital letters and spaces at the start or end.

  1. In the Booking types list, select a one-on-one booking type.

  2. Open More options. Select Shared booking group (optional).

  3. In the Booking group for field, type a group name. Example: Studio room. If the type is set to specific coaches, each coach has a field. Type a group name for each coach who shares the room.

  4. Select Save changes.

  5. Open the other booking type. Type the same group name. Select Save changes.

  6. To remove a type from a group, clear the group name and select Save changes.

Archive a booking type

Archive a booking type you no longer offer. Clients can no longer book it. Appointments that are already booked stay as they are.

  1. Open the booking type in the Booking types list.

  2. Select Archive type.

  3. In Archive appointment type?, select Archive. Select Keep active if you changed your mind. For a consultation, the box is called Archive consultation type?.

  4. You see "Appointment type archived." For a consultation, you see "Consultation type archived."

When you archive a group class, all its recurring class times end. Future classes with no bookings leave the calendar. Classes that already have bookings stay, but no one new can book them.

Restore a booking type

  1. On the Booking page, scroll to Archived at the bottom and select it to open the list.

  2. Find the booking type and select Restore. You see "Appointment type restored." For a group class, you see "Class type restored. Create a new recurring schedule when you are ready."

Common questions

Why do I need to save twice?

Create adds the booking type. Save changes saves the settings you add after that. For a consultation link, select Save consultation. A consultation link has no self-booking or session pass settings. You share it with Public booking link instead.

What do I see for a consultation link?

A consultation has its own editor. See Share a public consultation link.

I see "You must connect Google Calendar before this type can be published."

A virtual type that uses Google Meet needs Google Calendar. Connect it in Calendar > Settings, or choose Reusable HTTPS link. See Schedule clients and use your calendar.

I do not see Shared booking group.

It shows only for one-on-one booking types. Group classes and consultation links do not have it. If the type belongs to you, save it once first. If the booking type belongs to your organization, it must also be set to Selected coaches (your staff word), not All eligible coaches.

How do I know a shared booking group works?

Times that clash with the other type in the group are not offered when someone books. If you move an appointment onto a clashing time, you see "This time conflicts with an existing appointment."

Does a shared booking group change appointments I already have?

No. Appointment times stay the same. The group applies to existing and new appointments when you book or move a session.

I restored a group class. Why are there no classes on the calendar?

Restoring a class type does not restart its recurring times. Add a new recurring time on the Classes tab. See Set up a group class.

Can I delete a booking type?

No. Archive it instead.
