Customize your organization in Settings

Org Customization

The Settings tab holds your organization-wide choices. Only org admins see it. To open it, select Admin in the left menu, then Settings. This article is a map. Each part has a short note, and the detail is under a heading further down. Two choices live on your Account page, not on Settings. They are at the end.

Left side

  • Staff Label: pick what you call your staff. See the section Change what you call your staff below.

  • Feature Toggles: switches for your whole team. See the next section.

  • Client Onboarding: turn the Client onboarding flow on or off. When it is on, new clients see the flow in the mobile app. When it is off, they go straight to Home. Select Manage flows in Setup to edit the flow. Turn on Trainer access to let your staff edit the shared flow. Org admins can always edit it. See Build an onboarding flow.

Feature Toggles

  • Personal profiles for Coaches: pick a Default profile team. See Create a team.

  • Trainer Onboarding: the new-coach app tour. See the section Turn the new-coach app tour on or off below.

  • Team Client Sharing: lets team members see and edit clients shared with their team. See Create a team.

  • Nutrition target editing: see the section Let clients edit their nutrition targets below.

  • Nutrition waiver: see the section Require clients to sign a nutrition waiver below.

  • Organization branding on registration links: see the section Show your organization's branding on every signup link below.

Right side

  • Tag Management: the list of client tags, with their color and edit and delete icons. Select Create Tag to add one. See Create tags.

  • Default Equipment: see the section Set a default equipment list for your organization below.

  • Learning & Development Videos: upload videos for your coaches or clients, and rename the app section with Section Name. See Share learning videos and onboarding with your coaches.

  • Email Customization: see the section Customize the welcome emails below.

  • Reports: set up recurring report emails (Recurring Emails, Add Schedule) and exercise presets (Manage Presets) for quick report making.

  • Coach Evaluations: build the scorecards leaders use to score coaches. See Build evaluation scorecards.

  • Manage Coach forms: build form templates for staff. See Build staff form templates and see the Staff Forms report.

Change what you call your staff

Choose the word used for staff across Demotu, like "coach" or "trainer." It changes for everyone in your organization.

  1. Find Staff Label at the top of the Settings tab. It shows Coach by default.

  2. Open the dropdown and pick one: Coach, Trainer, Athletic Trainer, Staff, Clinician or Other (Custom).

  3. For Other (Custom), enter a Custom Label.

  4. Select Save. It appears after you change the dropdown.

Turn the new-coach app tour on or off

This switch controls the tour that new coaches see in the mobile app. It does not control onboarding checklists.

  1. On the Settings tab, in Feature Toggles, find Trainer Onboarding. This name does not change with your staff label.

  2. Switch it on to send new coaches through the mobile app tour after they sign in. Switch it off to send them straight into the app.

It is on by default. The change saves right away.

Let clients edit their nutrition targets

  1. On the Settings tab, in Feature Toggles, find Nutrition target editing.

  2. Turn it on. Clients can then set or update their daily macro targets in the mobile app. This applies when no target written by their coaching team is active.

  3. Turn it off to stop clients from editing their targets.

The switch saves right away.

Require clients to sign a nutrition waiver

This feature must be turned on for your organization. Contact support if you do not see Nutrition waiver. Upload a PDF waiver. Clients must review and sign it before they use nutrition in the app. Signed copies are saved in each client's documents.

  1. On the Settings tab, in Feature Toggles, find Nutrition waiver.

  2. Select Upload PDF. Pick your waiver file. It must be a PDF.

  3. The card shows "Current document" with the file name.

  4. Select View to check the file. Select Replace PDF to upload a new one. Select Remove to stop requiring the waiver. Remove has no confirm step.

In the app, a client who has not signed sees a Nutrition Waiver screen with View Document and Sign Document. They can use nutrition after they sign.

Show your organization's branding on every signup link

This switch appears only when your organization has the Custom Branding add-on.

  1. On the Settings tab, in Feature Toggles, find Organization branding on registration links.

  2. Turn it on. Your organization's name and logo then show on every coach's client signup link.

The switch saves when you turn it on or off. If you leave it off, each coach chooses, link by link, whether to show the branding.

Set a default equipment list for your organization

The default equipment list is the one coaches start with when they generate a workout.

  1. Make an organization equipment list first. In Default Equipment, select Manage Templates. The Equipment presets page opens. In the Organization section, select New. Type a Template Name, pick the equipment, and select Save Template.

  2. Go back to Admin > Settings and find Default Equipment.

  3. Open the list. Pick one of your organization lists. Each shows how many items it has, for example "(60 items)".

  4. To use no default, pick No default (use all equipment).

The choice saves right away.

Customize the welcome emails

Use this to change the welcome email that new clients and new coaches get when they join your organization.

  1. On the Settings tab, find the Email Customization card. Select the arrow at its right to open it.

  2. Under Client Welcome Email, fill in Subject (up to 200 characters) and Body.

  3. Under Coach Welcome Email, fill in Subject (up to 200 characters) and Body. The title uses your staff label, so it may say something other than "Coach".

  4. Select Save Email Settings.

Name your organization (Account page)

A new organization gets a name made for it, which ends in "'s Team". Until someone changes that name, the Welcome to your Organization! window opens each time an org admin opens the Account page.

  1. Select your initials at the bottom left, then select Account. The Welcome to your Organization! window opens.

  2. The Organization Name box shows the current name. Replace it with your name. It can be up to 30 characters.

  3. Select Save, or press Enter.

To skip it, select Skip for now. The window comes back the next time you open Account until the name changes.

Change the name later

  1. Select your initials at the bottom left, then select Account.

  2. Find Organization Name and select the pencil next to it.

  3. Type the new name. It can be up to 30 characters.

  4. Select the check mark, or press Enter. To stop without saving, select the X or press Esc.

Add your logo and brand colors (Account page)

Before you start, you need the Custom Branding add-on. If you don't have it yet, the card shows Subscribe Now. Select it to go to a secure Stripe checkout. When you come back to the Account page, you see "Custom Branding subscription activated! Loading settings..." and then the card shows your branding settings. To buy or remove the add-on from your billing page, see Add or remove an add-on.

  1. Select your initials at the bottom left, then select Account.

  2. Find the Custom Branding card (after purchase, org admins see Organization Branding).

  3. Under Logo, select Upload Logo. If you already have one, the button says Change Logo. Pick a PNG, JPG, or SVG file. It must be 5 MB or smaller.

  4. A Crop Logo window opens. Drag the corners to resize the box. Drag the middle to move it. Select Apply Crop. (Select Cancel to stop.)

  5. To fix the crop later, use the pencil on the logo. To remove the logo, use the trash can on it. A removed logo stays until you select Save Changes.

  6. Under App logos, you can add up to four more versions of your logo. Select Upload (or Replace) on each:

    • Wide logo, light background

    • Wide logo, dark background

    • Icon, light background

    • Icon, dark background

  7. Under Brand Colors, set Primary Color and Secondary Color. Select the color box to pick a color, or type a color code in the field next to it.

  8. Check the Preview box. It shows your two colors.

  9. Select Save Changes. You see "Branding updated successfully." Org admins see "Organization branding updated successfully." The page then reloads.

Common questions

Why don't I see Settings?

Only org admins see the tab. Ask an org admin to change a setting, or to promote you. See Change a staff member's role.

Where is Organization branding on registration links?

It shows only when your organization has the Custom Branding add-on. See the section Add your logo and brand colors above.

Why don't I see Coach Evaluations or Manage Coach forms?

Some organizations hide staff evaluations and forms. If yours does, those two cards are off.

The labels say Trainer, not Coach.

Card names follow your Staff Label. If you pick Trainer, Coach Evaluations and Manage Coach forms use that word.

Do toggles save right away?

Yes, for the switches and the Default Equipment list. For Default profile team, select Save profile team. For Staff Label and Section Name, select the Save button that shows after you make a change. For email text, select Save Email Settings.

Can I change what we call clients?

Not yourself. Contact support and we will change it for your organization. Common choices are "client," "athlete" and "student."

Can a coach use a different equipment list?

Yes. A client's own equipment list is used first. Then a coach's own default, then a team default, then the organization default.

The default equipment list says "No organization equipment templates yet."

Make one in step 1 of the equipment steps first.

What if I leave an email field empty?

The default text is used. Your Body replaces the default welcome message, not the whole email. When the card is closed and you have custom text, it shows "Custom email configured".

Who sees the organization name?

Your team. Pick a name they will know. Only an org admin can change it.

Do I have to fill in every app logo?

No. Upload the ones you have. A missing one uses the closest match, then your main logo. Use PNG files with a clear (transparent) background.

I don't see the Custom Branding card.

Coaches who belong to an organization don't see it. Only solo coaches and org admins do.

How do I cancel Custom Branding?

Solo coaches: on the Custom Branding card, select the gear icon. The Manage Subscription window shows your status and renewal date. Select Cancel Subscription. Then select Cancel Subscription again in the Cancel Custom Branding? window, or select Keep Subscription to stay. Your plan stays active until the end of the billing period. After that, your logo and colors no longer show. Org admins: cancel from your billing page. See Add or remove an add-on.

I selected Subscribe Now and see "Custom Branding is managed by custom contract billing."

Your account has a custom contract. Contact support to add Custom Branding.

I picked a logo file and nothing happened.

You may see "Please select an image file" or "Image size must be less than 5MB". Choose an image that is 5 MB or smaller.

What if the waiver upload fails?

You see "Failed to upload the waiver. Please try again." Check that the file is a PDF and try again.

If I replace the waiver PDF, do clients sign again?

Yes. Clients must sign the new waiver before they use nutrition again.

Does the nutrition target switch change targets my coaches already set?

No. The switch only applies when no target written by the coaching team is active.

Does the app tour assign a checklist?

No. To assign one, see Share learning videos and onboarding with your coaches.
